Delegate Services Executive

 

My client, a leading Incoming Tour Operator and DMC based in Dublin City, are seeking to hire a multi-lingual tourism professional to join their conference and events division. This is on a fixed term contract (FTC) until 28 September 2018.

 

ROLE:

This appointment is for a Delegate Services Executive to assist in the management of delegate services for a major event in August 2018.  A key requirement of this role the ability to communicate (both written and orally) in   English, Italian & Spanish.

 

Note: this is a Fixed Term Contract to run from immediate appointment to 28 September 2018.

CORE DUTIES:

·                              Process delegate registrations and bookings for accommodation, social events using the Company's conference online reservations system (both online and offline)

·                              Process delegate accreditation processes

·                              Respond to all communications and queries from conference delegates. Queries can either be via e-mail or telephone. 

·                              Maintain and manage delegate databases

·                              Distribution of ezines and other marketing material to conference databases

·                              Manage all accounting and administration functions in respect of conference delegates including the issue of confirmations, invoices and subsequent account settlement and credit control

·                              Print all necessary conference reports, itineraries and delegate name badges in respect of all upcoming conferences

·                              Prepare delegate packs for upcoming conferences

·                              Supplier liaison including updating hotels on delegate and room bookings.

·                              Prepare for going on site and provide onsite support at Conferences (onsite could be outside Monday/Friday)

·                              Any other duties as assigned from time to time by your Manager.

 

REQUIREMENTS:     

 

  • Experience in a similar role/ company a distinct advantage

•      Ability to meet agreed time paths / deadlines

•      Motivated self-starter with a passion for client care plus a commitment to delivering services to the highest level

•      Good team player

•      Strong technical/computer abilities; experience with a conference registration system an advantage

•      Excellent communication skills

•      Willingness to travel mainly within Ireland and also to work in locations other than the Conference & Events office

EDUCATION & QUALIFICATIONS:

  • 3rd level or relevant experience
  • Very good knowledge of MS Office
  • Familiarity with conference software a distinct advantage i.e. Events Air

·         Ability to communicate (both written and orally) in English, Italian & Spanish

LOCATION:                                       Dublin 8

SALARY:                                            Negotiable depending on experience

REPORTING TO:                               Delegate Services Manager for the Event

 

Salary subject to experience but guideline will be €20-24k
