Customer Service Representative

Reporting to Production Director


Responsibilities of the Role


  • Working in the Solutions team and with the Sales team you will be responsible for handling client inquiries, promptly processing projects and orders from enquiry or RFQ receipt through to quotation, artwork, sourcing, production and delivery of goods and services.
  • Keeping clients informed and updated throughout the order process
  • Providing clients with appropriate solutions, information, quotations and alternatives within agreed time limits and providing follow up to ensure that every client is satisfied with every interaction, progressing remedial action where they are not
  • Support your teams by providing and sourcing accurate, valid and complete information by using the required systems
  • Organising getting samples to clients – potentially organising weight tests and signoffs
  • Liaising with other Solutions Team members on delivery dates and managing this process with the clients
  • Requesting artwork (when supplied) from clients, managing timelines, retrieving artwork for reprints
  • Processing and verifying artwork in switch, liaising with prepress on proofs and chasing approval from client
  • Supplying spec sheet to prepress and organising P Keyline signoff  
  • Cross checking artwork against quote / keyline etc
  • Taking opportunities to upsell and cross-sell to clients and becoming knowledgeable in all products and services offered by the company
  • Ensuring that all Extras are identified and charged to the client, eliminating revenue leakage
  • Supplying PODs to clients and resolving debtor queries with Finance
  • Working as part of the Solutions Team, ability to help teams where extra capacity needed
  • Liaising with sales and production colleagues and building good working relationships within the various departments to ensure optimum quality and timings for clients
  • Other administrative, sales and client service tasks as assigned



Key Requirements:

  • An interest in sales and making a great impression on clients!
  • 3+ years of successful client service experience
  • Experience working in a fast-paced organisation, providing client service and inside solutions support
  • Excellent time management and organisational skills with a high level of attention to detail
  • Positive attitude, pro-active and the ability to work efficiently and effectively under pressure, with a strong sense of urgency and attention to detail
  • Personable and strong ability to work well with clients and partners, strong client focus
  • Competency in Microsoft applications and good all round computer literacy
  • Flexible individual with a strong work ethic
  • Ability to work well and communicate effectively in a team and to be pro-active in developing client solutions and solving problems
  • Excellent administration skills and persistence with strong attention to detail
  • Great communication and organisation skills
  • Ability to negotiate with clients and suppliers in a strong and forthright manner
